RFID – A new direction in bank document management.
As the banking sector faces increasing pressure in terms of compliance, security, and operational efficiency, document management has emerged as one of the most critical challenges. From credit files and loan contracts to legal documents and customer records, the massive volume of documents requires banks to adopt more effective management approaches.
In practice, many banks today still rely on traditional methods such as paper-based storage, barcode labeling, or management via Excel and basic software systems. When document volumes grow to hundreds of thousands—or even millions—of files, these methods begin to expose significant limitations, ranging from document loss and inventory discrepancies to difficulties in accountability and traceability.

In the banking environment, documents are not merely stored paperwork; they are assets with high legal and financial value. The loss of a single credit file can result in delayed loan disbursement, customer complaints, or increased risks during audits and inspections.
In addition, manual document search and inventory processes are time-consuming. On average, staff may spend 10 to 30 minutes locating a single file, while inventory checks can take hours or even days, often with limited accuracy. The lack of a clear borrow–return history further complicates internal control and responsibility tracking when issues occur.
Barcode technology was once considered an effective solution for document management. However, in today’s banking context, it is increasingly seen as insufficient. The need to scan each code individually, the requirement for line-of-sight visibility, and the inability to conduct bulk inventories make barcode systems unsuitable for large-scale document management in banks.
As document volumes grow rapidly, barcode systems shift from being a support tool to becoming an operational bottleneck, slowing down business processes and increasing hidden costs.
In response to these challenges, many banks have begun researching and deploying RFID (Radio Frequency Identification) technology in document management. RFID enables contactless identification and the simultaneous reading of multiple items.
With RFID, each document file is equipped with an ultra-thin RFID tag that does not affect document integrity. Combined with RFID readers and management software, banks can track document locations in real time, conduct rapid inventories, and maintain complete records of borrowing, returning, and movement.

Based on real-world implementations, the application of RFID in document management has delivered clear benefits:
File retrieval time reduced from 10–30 minutes to just a few seconds
Inventory of thousands of documents completed in minutes, with accuracy exceeding 99%
Near-elimination of document loss
Improved transparency and stronger support for audit and inspection requirements
Notably, many banks report a 60–70% reduction in operational costs related to document management after implementing RFID.
Experts emphasize that RFID is not a standalone technology, but rather a comprehensive system that requires deep understanding of banking workflows, security requirements, and internal compliance standards.
In Vietnam, Beetech is recognized as one of the pioneering companies in the Auto-ID & RFID field. The company delivers end-to-end RFID-based bank document management solutions, covering RFID tags, readers, access control gates, management software, and consulting and system integration tailored to each bank’s operational realities.
According to Beetech representatives, effective RFID deployment must focus on addressing real operational pain points rather than implementing technology in a fragmented manner, ensuring long-term efficiency and scalability.
As banks accelerate their digital transformation initiatives, RFID is increasingly viewed as a foundational technology for standardizing document management, reducing legal risks, and improving workforce productivity.
Industry experts agree that RFID is no longer an experimental trend. Instead, it is becoming a modern document management solution, enabling banks to shift from reactive handling to proactive, data-driven control based on real-time information.
